We collect different information depending on who you are and why you are in contact with us.

Young people we support

Where a young person is placed with us, we hold the information necessary to provide safe care: basic details, care and placement records, daily notes, health information relevant to daily support, education information, contact records and incident records. This information is provided to us by the placing authority and supplemented by what we observe and record ourselves.

Referrers and professionals

We hold professional contact details, correspondence, referral documentation and records of decisions and meetings.

Website visitors

When you use this website we may process your internet protocol address, browser type and version, the pages you visit and the time of your visit, together with any information you voluntarily submit through our contact form, such as your name, organisation, email address and message.

3. Why we use it and on what basis

We use personal information to provide residential care and everyday support, to keep young people safe, to meet our legal and regulatory obligations, to communicate with placing authorities and professionals, to maintain accurate records and to respond to enquiries.

Our lawful bases are: the performance of a contract or agreement with a placing authority; compliance with legal obligations to which we are subject; our legitimate interests in operating a safe and properly run care service; and, where required, consent. Where we process information about a person’s health, we do so for the provision of care and for the protection of the vital interests of the individual where applicable.

4. Sharing information

We share information with the placing authority, social workers, education providers and health services where it is necessary to provide care, to safeguard a young person or to meet a legal obligation. We may also share information with regulators, the police and other agencies where the law requires it or where it is necessary to protect someone from harm.

We do not sell personal information and we do not share it for marketing purposes.

5. How long we keep it

We keep care records for the period required by our regulatory and statutory obligations, and in any event only for as long as is necessary for the purposes described in this policy or to meet a legal requirement. Enquiry correspondence that does not lead to a placement is kept only for as long as needed to deal with the enquiry and any follow-up.

6. Storage and security

Records are held securely on access-controlled systems, and paper records are stored in locked storage. Access is limited to people who need it for their role. Staff receive training on information handling and confidentiality as part of induction and ongoing training.

7. Your rights

Under data protection law you have the right to be informed, to access your personal information, to have inaccurate information corrected, to have information erased in certain circumstances, to restrict or object to processing in certain circumstances, and to data portability. Where we rely on consent you may withdraw that consent at any time.

Where a request relates to a young person we support, we will consider the young person’s rights and their capacity and understanding when responding, working with the placing authority as appropriate.

To make a request, contact us at the details above. We will respond within the period required by law. If you are unhappy with our handling of a request, you have the right to complain to the Information Commissioner’s Office.
