How fees work
Fixed prices where the work is fixed, a written quote where it is not
Some of what we do runs to a predictable pattern, so we publish the price. A residential placement does not, so it is quoted after assessment. Neither route involves a hidden charge, and nothing is commissioned until the cost is agreed in writing.
Day services and sessions
Bought on their own, in blocks or alongside a placement. Published rates apply and are invoiced monthly.
- Rates held for the financial year
- Booked by the hour, session or day
- No minimum contract length
Residential placements
Commissioned as a package covering accommodation, staffing, routine and liaison across the week.
- Weekly fee quoted after assessment
- Itemised, with the assumptions stated
- Reviewed on the cycle in the agreement
Funded placements
Most placements are funded by a local authority, health or joint arrangement, or a personal budget.
- Invoiced to the funding body, not the young person
- Single point of contact for billing queries
- Budget variations discussed before they arise

Rates shown are the amounts invoiced. Welfare services of this kind are exempt from VAT. Where a service falls outside that exemption, we confirm the position and show VAT separately before it is commissioned. Sessions outside our published pattern are quoted individually — ask us rather than assume.
Inside the rate
What a published rate covers, and what it does not
We would rather be clear about the boundary now than argue about an invoice later.
Included in the rate
- Staffing for the booked hours at the agreed ratio
- Planning, preparation and a written record of the session
- Meals and drinks during a booked day service
- Local travel while the young person is with us
- Sharing relevant information with the referrer
Charged separately or not provided
- Long-distance travel, agreed in advance and shown on the quote
- Specialist clinical or therapeutic input, arranged through health services
- Education provision, which remains the responsibility of the education provider
- Personal items, clothing and discretionary spending money
- Any additional hours not agreed before the session
Residential placements
Placement fees are quoted, not listed
A weekly placement fee is built from the assessment, not from a price band. The staffing ratio, the level of night cover, the education and health arrangements and the travel the placement requires all move the figure, and two young people with the same label on a referral form rarely need the same package.
What we commit to instead is a written quotation before anything starts: itemised by service, showing the hours and ratios it assumes, and stating what falls outside it. If the placement plan changes, we tell you what it does to the fee before the change is made, not afterwards.
- Weekly fee quoted after assessment, in writing
- Itemised by staffing, accommodation and liaison
- Variations discussed before they are incurred
- Reviewed on the cycle agreed in the placement agreement
Invoicing
How and when we bill
Placing teams should be able to reconcile an invoice without a phone call. Where a query does arise, there is one named contact who owns it until it is resolved.
Monthly cycle
Placements are invoiced monthly in arrears against the agreed plan. Day services are invoiced at the end of the month in which they were delivered.
- One invoice per funding body
- Supporting hours set out line by line
One billing contact
Billing queries go to a named person rather than a general inbox, with a response within two working days.
- Queries answered in writing
- Credits raised promptly where due
No hidden extras
Additional or exceptional support is never charged unless it was agreed with the placing authority in advance and priced explicitly.
- Nothing added without written agreement
- Committed staffing costs explained where they apply
Price review
Published rates are reviewed each April. Placement fees follow the review cycle in the agreement, with notice before any change takes effect.
- Advance notice of any change
- Existing terms honoured for the agreed period
Fee questions
Questions we are asked about cost and funding
Are these rates the full cost of a placement?
No. The rates on this page cover the day services and support sessions that can be bought on their own terms. A residential placement is commissioned differently because it includes accommodation and staffing across the whole week, and it is quoted after an assessment so that the figure reflects the actual staffing ratio and hours agreed. We will put that quote in writing before anything starts.
Why do you publish some rates and not others?
Day services and support sessions run to a fixed pattern, so the price is genuinely fixed and there is no reason to keep it behind a form. Placement fees depend on the young person’s assessed needs, the staffing ratio, the mix of people already in the home and the level of night cover, so publishing one headline weekly figure would be misleading. Where we cannot give a real number, we say so rather than invent one.
Is VAT added to these rates?
Welfare services of this kind are exempt from VAT, so the rates shown are the amounts invoiced. If a service we provide falls outside that exemption, we will tell you before it is commissioned and show the VAT separately on the quote.
How is a placement invoiced?
Placements are invoiced monthly in arrears against the agreed placement plan, on the cycle set out in the placement agreement. Day services and sessions bought individually are invoiced at the end of the month in which they are delivered. Payment terms are stated on the invoice.
What happens if a placement ends or is cancelled?
Notice periods are set out in the placement agreement. Where a placement ends at short notice, fees already incurred — including committed staffing costs — remain payable, and any amount paid in advance for a period we do not provide is refunded pro rata or credited, at the placing authority’s option. The full position is in our Terms & Conditions.
Can you provide a formal quotation for a panel or contract team?
Yes. Send the referral information and the hours or support you need, and we will return a written quotation on our letterhead, itemised by service, with the assumptions it is based on. We will also confirm what is not included, so there are no surprises at invoice stage.
